Role Overview
The Practice Manager plays a vital role in our hospital’s leadership team. This individual manages daily business operations, coordinates multi-departmental administrative needs, ensures high-quality client support, and collaborates directly with veterinarians and the practice owner to optimize clinical productivity.
Primary Responsibilities
1. Lead & Develop the Team
• Scheduling: Build and maintain staff schedules while ensuring appropriate operational coverage.
• Onboarding & Growth: Train, onboard, mentor, and develop team members where appropriate.
• SOPs & Standards: Implement and uphold Standard Operating Procedures (SOPs).
• Performance Management: Manage staff performance and foster a culture of continuous improvement.
2. Administrative, Financial & Record Management
• Payroll & Timesheets: Review and log staff timesheets to complete standard payroll administration.
• Taxation Duties: Prepare and submit monthly and annual business taxes, National Health Insurance (NHI), and Social Security Board (SSB) allocations.
• Accounts & Reconciliations: Perform end-of-day cash reconciliations, manage bank deposits, balance accounts receivable, and update financial tracking spreadsheets.
• Billing System Management: Handle digital invoicing and enter charity billing sheets into ClientTrax management software.
3. Client Service & Travel Logistics
• Inbound Correspondence: Monitor and reply to digital clinic communications via official email networks and WhatsApp channels.
• Front Desk Supervision: Support telephone reception lines and ensure precise scheduling for clinical appointments.
• Import / Export Logistics: Advise and actively assist clients navigating international animal importation & exportation.
• Documentation Prep: Draft precise animal health certificates and coordinate outward laboratory sample shipping logistics.
4. Inventory Control & Procurement
• Stock Management: Supervise the hospital supply inventory system, manage purchase orders, prealert incoming packages, and systematically restock treatment areas.
• Port Logistical Support: Transport heavy clinic inventory shipments to and from the local shipping ports and accurately complete required custom T12 entry declarations.
• Facilities Management: Monitor utility obligations and orchestrate routine maintenance or repairs for medical equipment and the company vehicle.
Required Experience & Qualifications
• Experience: 2 years of dedicated experience in Business Management. (Preference given to medical practice experience).
• Education: A Bachelor’s Degree in Business Administration, Healthcare Management, or Veterinary Technology.
• Communication Skills: Professional communication when interacting directly with clients,
veterinarians, vendors, and foreign government entities.
• Adaptability: A flexible mindset with a proven ability to cross-train, assist clinical support staff, and adapt to shifting hospital needs.
Discretion: Absolute respect for privacy parameters when interacting with highly sensitive financial logs, personnel records, and private client & patient dossiers.
