FLOW is accepting applications to the position of Fleet and Facilities Manager.

The primary function of the role is to ensure that all Company property is maintained as specified and that safety and security standards are implemented and adhered to in accordance with company policy and applicable laws. Overall management and control of the company’s fleet of vehicles and related activity.
Responsibilities:
What You ́ll Do
• Participate in and support all regional property, fleet, power, HVAC and security initiatives.
• Assist in all aspects of project implementation as needed.
• Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments.
• Set up, maintain, and organize department’s central files, information, filing, and messages.
• Assist with locating parts, supplies, and materials.
• Prepare and maintain RFP’s, bid information, and other contract documents.
• Assist management to develop and evaluate plans for facilities executed by vendors.
• Inspect entire buildings to identify general corrective maintenance as necessary for proper maintenance and operation of various equipment, fixtures, etc.
• Report deficiencies and recommend areas for improvement to management.
• Ensure to maintain and continue operation of mechanical systems like HVAC systems, boiler, fans, generators, electrical switch gear and UPS systems.
• Coordinate preventive maintenance and repair programs on all building mechanical infrastructures.
• Update and maintain records to track maintenance and repairs
• Support the vendor process by:
o Reviewing quotations submitted by vendors and raising the necessary shopping carts in the company’s procurement system.
o Reviewing and reconciling of invoices uploaded/ emailed for payment by vendors before they are processed in the procurement system.
o Initiating payment of vendors and following up with finance on their payments.
o Liaising with Supply Chain on quarterly service delivery budget allotments and Reconciling vendor spend against OPEX and CAPEX allocations to the department.
o Creating all Purchase Orders in the local VPTO and PFF space to facilitate payments and purchasing of any required items.
o Prepare and submit monthly accrual statements to the finance team.
• Direct and manage any facilities emergencies if any, including those related to local crisis management activities.
• Manage the investigating of accidents and security of premises and ensuring that all issues are thoroughly documented and resolved.
• Coordinate all office moves and other facilities related projects to meet demands of the business.
• Ensure that air-conditioning systems and fire fighting equipment are maintained to specified standards.
• Approach, discuss and obtain quotations from outside contractors for repairs/maintenance to buildings, as required, and ensure that the terms of the Contract are fulfilled.
• Address complaints and resolve problems as identified by department managers and /or their staff as it relates to Facilities and Fleet issues.
• Provide the management and guidance to ensure the successful delivery of an effective Fleet operation.
• Ensure that the Fleet operates within all relevant legislation; including but not limited to – Insurance, health and safety, environmental and employee welfare.
Qualifications:
Knowledge & Experience
• High school diploma or equivalent qualification required
• At least two (2) years relevant experience in property and fleet management or a related area.
• A basic understanding of procurement systems and 3 years administrative experience.
• Practical knowledge of internal and external maintenance procedures is essential.
• Will be very aware of emerging technologies and trends within this space.
• Proven track record on delivery on commitments and high level of customer satisfaction achievement.
• Knowledge of power systems would be an asset.
• A basic understanding of Finance would be an asset.
• Must possess proficiency with computer applications specifically MS Office applications including
Excel and Word.
